At Be Part of the Journey, we approach travel as an art form — one that blends meticulous planning, trusted partnerships, and the genuine intention to design meaningful experiences.
While we curate every journey with care, we act as an intermediary between our travelers and a network of exceptional suppliers worldwide. Therefore, all reservations are subject to the booking, payment, and cancellation policies of those suppliers.
We value transparency and integrity in every step of the process. Below you will find the essential terms that guide our work and ensure a seamless experience for all our clients.
RESPONSIBILITY
Be Part of the Journey is not responsible for any loss, delay, change, or cancellation caused by circumstances beyond our control. These include, but are not limited to, natural events (earthquakes, hurricanes, floods, pandemics, etc.), and situations of force majeure such as wars, accidents, strikes, riots, terrorist acts, or political unrest.
We are not liable for issues related to health, documentation, or personal circumstances that may affect your ability to travel. It is the traveler’s responsibility to ensure all travel documents (passports, visas, vaccinations, etc.) are valid and compliant with current regulations, which may change before or during the trip.
ABOUT RESERVATIONS
All rates are confirmed by our selected suppliers (hotels, transportation, cruises, airlines, etc.) once the client approves the proposed itinerary and budget. Prices may vary until full payment is made to the suppliers. Should any adjustments occur, the client is responsible for covering such differences.
ABOUT CONFIRMATIONS
To confirm reservations, a 50% advance payment is required. Rates are subject to change due to currency fluctuations or local circumstances beyond our control. Final confirmation is received once all corresponding payments have been processed.
ABOUT AIR TICKETS
Airfares require 100% advance payment prior to ticket issuance. All fares remain subject to change until issuance. The client is responsible for reviewing and approving, in writing, the routes, times, and rates before tickets are issued.
Important notes:
Tickets allow changes with penalty, fare difference, and a remission fee.
Issuance fee includes flight search, booking, ticketing, monitoring, check-in, and assistance in case of involuntary airline changes.
Lowest fares are non-refundable.
Promotional business fares (Iberia, Emirates, Qatar, etc.) may not include seat pre-selection or VIP lounge access.
For itineraries involving multiple airlines, online check-in or additional purchases (baggage, seats) may not be available on all segments.
Seat purchases are non-refundable. In case of flight changes, seat selection may be lost and reassigned based on availability.
Separate reservations (different PNRs) are managed independently by airlines; involuntary changes may result in separate reassignments.
Unaccompanied minor fees may apply when minors travel in different cabins from their guardians.
Separate ticket purchases (on different itineraries) are at the traveler’s risk in case of delays or cancellations.
ABOUT BENEFITS
Some of our partner hotels and travel providers offer exclusive benefits to BPJ clients (upgrades, credits, experiences, etc.). These are confirmed on a case-by-case basis and depend on the supplier’s availability and conditions.

ABOUT CHECK INS AND ACCOMMODATION
Hotel check-in typically begins at 3:00 p.m. and check-out around 10:00 a.m. Early check-in and late check-out are subject to hotel availability and may incur additional charges.
In some destinations, triple rooms may include two beds, requiring passengers to share. The addition of a third bed is always subject to hotel availability at check-in. Double or matrimonial room preferences will be requested but are not guaranteed until confirmed by the hotel.
ABOUT PAYMENTS
Until the final payment is completed, variations in exchange rates may occur and will be reflected in the final invoice.
All packages and tailor-made programs are non-refundable. When possible, trips may be postponed under supplier conditions.
Any expenses caused by unforeseen events (weather, strikes, political unrest, etc.) must be borne by the traveler.
No reimbursement will be made for voluntarily unused services or delays attributable to the passenger.
ABOUT PRIVACY
We value your privacy and handle all personal data with the utmost care and confidentiality. Our website uses industry-standard security measures such as firewalls, access controls, and encryption to prevent unauthorized access.
Your personal data, collected through our website, is used exclusively to respond to inquiries and manage travel-related communication. Providing this information is necessary for us to fulfill these purposes.
Your data will be stored as long as our commercial relationship remains active or until you request its deletion.
FINAL AGREEMENT
By confirming your trip with Be Part of the Journey, you acknowledge having read and accepted these terms and conditions in full. These constitute the sole and binding agreement regarding the contracted services.
